This is a unique opportunity to play a pivotal role in supporting senior leadership while helping establish and manage a dynamic new office environment in the Netherlands. Acting as a trusted partner to two Vice Presidents, you will provide high-level executive support while serving as the operational heartbeat of the office, ensuring an exceptional workplace experience for employees, visitors, and stakeholders.

What you'll own as the EA/ Office Manager

Executive Support
  • Provide comprehensive, proactive support to two Vice Presidents, managing complex calendars, travel arrangements, meeting schedules, and communications across multiple time zones.
  • Coordinate leadership meetings, executive reviews, town halls, and strategic business discussions, ensuring seamless execution and follow-up.
  • Prepare agendas, presentations, reports, briefing materials, and correspondence, maintaining the highest standards of professionalism and confidentiality.
  • Act as a trusted liaison between senior leaders and internal and external stakeholders, building strong relationships and facilitating effective communication.
  • Anticipate business needs, proactively identify priorities, and ensure executives are equipped with the information and support required to make informed decisions.
  • Manage sensitive and confidential matters with discretion, sound judgment, and a high degree of professionalism.

Office Management & Workplace Leadership
  • Serve as the primary point of contact for the Netherlands office, helping create a welcoming, well-organised, and high-performing workplace environment.
  • Lead day-to-day office operations, ensuring facilities, resources, and services support employee productivity and business objectives.
  • Partner with internal teams, vendors, and external service providers to coordinate office administration, maintenance, supplies, and workplace initiatives.
  • Support office growth and employee engagement activities, helping foster a positive culture and an exceptional employee experience.
  • Coordinate on-site visits, leadership events, customer meetings, and employee gatherings to ensure a professional and memorable experience.
  • Identify opportunities to improve office processes, workplace efficiency, and operational effectiveness as the office continues to grow.

What you'll bring

  • 5 years plus professional experience working with senior leadership or executives within and outside the company.
  • Strong analytical skills and the ability to exercise independent judgment.
  • Excellent written and verbal communication skills.
  • Proficiency in preparing reports and handling confidential information.
  • Ability to work independently on complex projects with minimal supervision.
  • Handle complex tasks and projects with a high degree of risk.
  • Experience supporting on-site engagement with partners, stakeholders, and priority initiatives to drive alignment and impact for the business
  • Drive effective meeting and project coordination, including agenda development, materials preparation, and tracking of follow-ups and key milestones to ensure priorities are executed seamlessly.
