J ob Responsibilities

  1. Provide project support for the Total Wealth Planning team by:
  • Preparing and managing project plans by identifying all deliverables, activities and dependencies, setting milestones and priorities;
  • Conducting needs analysis and assessing current processes through discussions with field SME;
  • Preparing costs/benefits for assigned projects and ensuring recommendations can be measured;
  • Keeping up to date on project progress, escalating issues as appropriate with recommendations and solutions;
  • Developing implementation and change management plans; and facilitating training via web-ex and conference calls;
  • Developing test cases, performing testing, defining user procedures and workflows, developing conversion and implementation strategies, preparing user documentation and providing post- implementation support;
  • Engaging partners from various business lines during project work to gain insights, feedback on current processes and recommended solutions to ensure successful deployment of the various initiatives;
  • Responding to ad hoc queries regarding projects or current processes and tracking systems
  • Supporting various smaller initiatives directly with Directors and Sr. Managers as required and if time permits.
  1. Provide support for Total Wealth Planning technology platforms and other key tools by :
  • Maintaining roadmap for WealthPrint and other tools used by Total Wealth Planning ;
  • Supporting the implementation of enhancements and regular maintenance upgrades to these tools;
  • Acting as Subject Matter Expert on Salesforce, advising team of updates and new features, being the liaison with support team as well as gathering feedback for future enhancements;
  • Creating job aids and training material to support the various technology platforms and ensuring they are kept up to date and relevant for users;
  • Supporting the co-ordination of training initiatives for all groups on various tools;
  • Conducting mandatory and ad hoc testing of technology platforms to ensure continued accuracy and usability;
  • Updating Retail and Scotia Asset Management partners with our current plan for our financial planning software;
  • Maintaining relationships with the various Product Owners for our tools and products.
  1. Support initiatives that will help improve our ability to deliver on the Total Wealth Strategy by:
    • Assisting with the gathering and organization of competitive intelligence and updating it as required;
  • Conducting research, using surveys or other methods, with SWM advisors to uncover gaps in our current tools and support resources;
  • Applying their business and technological knowledge to create innovative digital solutions to create operational efficiencies;
  • Gathering and maintaining insights from an enterprise perspective on the current planning software and any potential new tools we are exploring, with a view to analyzing and enhancing our total wealth planning process; and
  • Supporting the implementation of any new national best practices and sales techniques for the Total Wealth Planning team.
  1. Support the implementation of various regulatory initiatives by;
  • Providing oversight of various compliance mandates managed by Total Wealth Planning and Business & Family Advisory Services;
  • Liaising with various regulatory and operational groups as required;
  • Consolidating reporting around status of Client Solutions regulatory or operational initiatives;
  • Maintaining those reports in SharePoint or similar shared site;
  • Distributing those reports to appropriate regulatory or business groups; and
  • Escalating issues to senior management as required.
  1. Contribute to the effective functioning of Head Office team by:
  • Participating actively in team learning development activities and team performance achievements.
  • Building effective working relationships across the team and with various business line and corporate function contacts;
  • Maintaining a high level of customer service
  • Facilitating a culture of open and honest communication
  • Actively participating and contributing to touch bases and team meetings
  • Encouraging the generation of new ideas and approaches
  • Actively share knowledge and experience to enhance the development of all team members
  • Developing and executing a meaningful employee development plan

    Education/ Work Experience/ Designation:
  • University or College degree
  • Experience in the area of Wealth Management
  • Work Experience Project Management

    Dimensions:
  • Strong project management skills and the ability to manage multiple projects at the same time
  • Superior time management and prioritization skills
  • Strong interpersonal skills, oral and written communication skills,
  • Attention to detail and follow-through skills
  • Excellent knowledge Microsoft office projects and other MS programs
  • Ability to work as part of an interdependent team and individually when required. Works well with autonomy and is an excellent communicator in a modern, flexible work environment.
