Market Job Description

A contract position has become available in the EMEA COO office to help support a busy time by performing company secretarial duties in support of the WFBNA London Branch Manager, the Regional President and the EMEA COO Office as well as supporting in the effective running of committee meetings.

Responsibilities:
  • Company Secretary for WFBNA London Branch
  • Secretary for EMEA Operating Committee and other EMEA Regional Committees as directed
  • Secretarial duties include:
    • Preparing meeting agendas in collaboration with the Chairperson and distributing these to members
    • Organising Committee meetings, including sending calendar invites, booking meeting rooms and arranging refreshments as required
    • Producing excellent meeting minutes and sharing these with members in a timely manner post-meeting
    • Ensuring that all outstanding action items, including escalations, are tracked and followed up on in a timely manner
    • Maintaining the membership and Terms of Reference of the Committee(s) and refreshing these on an annual basis per the Committee Terms of Reference
    • Liaising clearly and effectively with Lines of Business and Support Groups to ensure timely requests for information are sent and that the correct materials are received and collated into the relevant deck(s)
    • Proof reading and quality assuring each deck and performing a pre-read with the relevant Chairperson, liaising with relevant parties where revisions are required
    • Distributing the deck(s) in a timely manner to members prior to each meeting
    • Record keeping
  • Responsible for ensuring that the Committees comply with standard financial and legal practice and maintain high standards of corporate governance
  • Perform general administrative duties as required


Market Skills and Certifications

  • Company secretarial experience, preferably with a paralegal background and a good understanding of UK/European regulatory and governance requirements for Committees
  • Excellent attention to detail and accuracy
  • Exceptional organisational, analytical and documentation skills
  • Excellent command of written and spoken English
  • Excellent communication, networking and interpersonal skills
  • Experience in taking accurate and appropriate meeting minutes
  • Good understanding of business
  • Advanced computer skills including PowerPoint, Word, Excel and Outlook
  • Unquestionable conduct, ethics and integrity
  • Proactive, able to identify opportunities for improvement and act on these
