  • The role 

    Provides comprehensive administrative and organizational support services for six Director/Senior Manager level individuals within the training team.  These individuals are based in multiple locations across the US.  Responsibilities include meeting and calendar management, coordination and arrangement of travel schedules, preparation of meeting materials and project support.

    Detailed responsibilities

    • Coordinates calendars and schedules meetings, often across multiple time zones
    • Resolves scheduling conflicts as they arise, often at short notice, communicating changes to all impacted participants
    • Manages all travel arrangements, including air, hotel, ground transportation and meal reservations for Directors/Senior Managers and their teams as necessary
    • Prepares meeting materials (printing, binding as needed)
    • Provides production support if needed
    • Compiles and submits time and expense reports according to an established schedule
    • Reconciles credit card statements and resolves discrepancies
    • Schedules conference rooms and orders meals for internal meetings
    • Supports priority projects as required


    • BA/BS degree preferred
    • 2-3 years of executive support experience; professional services experience highly preferred
    • Strong proficiency in Microsoft Windows, Outlook, PowerPoint and Excel
    • Excellent organization, time management and scheduling skills; strong attention to detail
    • Ability to work productively, both independently and as part of a team
    • Effective written and verbal communication skills
    • Strong customer service focus
