Equity Compensation Associate Director

JOB DESCRIPTION
Summary/Objective
Responsible for the administration of the company's equity compensation plans. A successful individual in this position is detail oriented, able to manage multiple projects and deadlines concurrently, technically savvy, able to analyze large amounts of data from multiple sources, balances priorities, continuously works to optimize process, seeks to learn new concepts or skills, and provides a high level of customer service

Key Responsibilities
Oversee the current service delivery model by
• Administering the company's equity plans - maintains and updates stock database to ensure accuracy and integrity of the data
• Working with in house stock administrator to manage and process all equity transactions (award vesting, exercises, cancellations, terminations, tax withholding and shares outstanding), ensuring accurate and timely settlement of all transactions, coordinating with US and international payroll on accurate tax withholding and reporting
• Performing monthly, quarterly and yearly reconciliation of records between the equity plan against general ledger accounts
• Working with line manager to ensure that internal controls and procedures are followed and in compliance with SOX

  • Managing responses to internal/external audit requests
• Coordinating with members of the Finance, Legal, HR and Accounting Departments regarding the company's equity compensation plans. Preparing recurring reports, analysis, and other data for various functions/departments, and responds timely to ad hoc data as needed.
• Providing excellent customer service to equity participants at all levels, responds timely to employee queries regarding the equity plan and equity administration platform
• Supporting line manager in preparation of materials and analysis for the HR Committee meetings
• Keeping abreast and staying up-to-date with best practices and trends within the industry
• Leading technical system upgrades and implementations, module enhancements, etc. and effectively communicating changes and impacts to stakeholders
Line managing internal stock administrator to support the day to day delivery of a range of internal processes including regulatory filings, closed periods, grant agreements and acceptances and assist with other duties as assigned.

Support the transformation of Equity plan administration by

  • Support Global Equity Head in identifying process improvements
  • Review current procedures and work with external plan administrator (E*TRADE) to implement changes
  • Managing changes with key stakeholders in the Americas region in particular
  • Identifying opportunities to streamline and automate
  • Monitor process documentations
  • Manage the transformation of the service delivery model with E*TRADE and review as appropriate
Qualifications
Skills Required:
• Bachelor's degree in business or related field of study preferred
• 5+ years of experience managing and administering global equity plan for a public company
• CEP designation preferred

Knowledge & Experience:
• Strong understanding of equity plans / administration, interactions with HR, Compensation, payroll and benefits
• Experience supporting all levels of an organization, including executive leadership

Skills & Abilities:
  • Expert knowledge of working with E*TRADE or similar suppliers
• Expert knowledge of MS Office (specifically Excel)
• Excellent written and verbal communication, interpersonal and organizational skills
• Strong customer service approach
• Strong analytical skills; ability to manipulate, compare and interpret large amounts of data
• Experience with HRIS systems (particularly Workday) and reporting a plus
• Ability to maintain discretion and work with sensitive/confidential subject matter required
• Demonstrate accuracy, thoroughness and strong attention to detail
• Ability to collaborate effectively in a team environment
